Policy Overview

Language access helps patients make informed care decisions.

This page explains how Wells Legacy Health & Wellness approaches language assistance requests, interpreter support, translated information, in-person visit communication, telehealth communication for eligible Florida and Minnesota patients when clinically appropriate, emergency language needs, and external civil rights resources.

Meaningful Access

Important information

Patients may request help understanding important practice communication, care instructions, appointment information, policies, or service details.

Language Help

Interpreter support

Language assistance may include interpreter support, translated notices, or other reasonable communication help when available and appropriate.

Planning Ahead

Early requests

Patients are encouraged to request language help before appointments so the practice has time to review the request and coordinate available support.

This policy applies to language assistance requests related to Wells Legacy Health & Wellness website information, appointment scheduling, patient communication, telehealth access, health education, patient advocacy, wellness services, and practice-related notices.

This page should be read with the Nondiscrimination and Accessibility, Accessibility Statement, Notice of Privacy Practices, and Legal, Privacy & Compliance pages.

Wells Legacy Health & Wellness supports meaningful access to important health-related information for patients and visitors who may have limited English proficiency or who need help understanding practice communication.

Language assistance may include interpreter support, translated notices, language identification support, or other communication assistance when available, appropriate, and required by applicable law.

Language assistance may be requested for important practice communication such as:

  • Appointment scheduling and appointment preparation information.
  • Telehealth access instructions and basic technology guidance.
  • Patient rights, privacy notices, and compliance-related documents.
  • Service descriptions, care instructions, or follow-up guidance.
  • Billing, forms, or administrative information when applicable.

Not every document, webpage, or communication can be immediately translated. The practice may review the request and provide a reasonable available option based on the request, timing, setting, and applicable requirements.

Language assistance is best requested as early as possible before an appointment or service interaction. Availability may depend on the language requested, timing, urgency, service type, platform limitations, and whether the request is legally required or clinically appropriate.

The practice may not be able to provide immediate assistance for every request. When immediate support is not available, the practice may offer another reasonable communication option when appropriate.

Telehealth language assistance may require additional planning because the visit may depend on patient location, technology access, internet connection, platform features, privacy conditions, and interpreter availability.

Patients who need language support for telehealth should contact the practice before the scheduled appointment when possible. Telehealth may be available for eligible patients in Florida and Minnesota when clinically appropriate and permitted by applicable requirements.

To help the practice respond to a language assistance request, patients should try to provide:

  • The language needed.
  • The type of information or appointment involved.
  • The appointment date and time, if already scheduled.
  • Whether the request is for phone, telehealth, written information, or in-person communication.
  • A safe and accurate contact method for follow-up.

Patients should not send sensitive medical details through public social media or unsecured channels.

This website, email, contact forms, online booking, social media, and routine practice communication are not for medical emergencies.

If you are experiencing a medical emergency, call 911 or go to the nearest emergency room immediately. Emergency services may have their own language access procedures and resources.

Patients and visitors may contact Wells Legacy Health & Wellness with language assistance concerns, communication access questions, or related nondiscrimination concerns.

Individuals may also have the right to contact external civil rights agencies, including the U.S. Department of Health & Human Services Office for Civil Rights, the Florida Commission on Human Relations, or the Minnesota Department of Human Rights, depending on the situation and applicable law.

Retaliation for raising a good-faith language access or civil rights concern is not supported by this policy.

Wells Legacy Health & Wellness may update this policy from time to time. The updated version will be posted on this page with a revised “Last updated” date.

Continued use of the website, online resources, appointment links, or related digital tools after updates are posted means the updated policy applies going forward.
